Getting started

What is BGCAN?

Software for BC background talent agencies: your roster, casting requests from casting directors, availability checks, bookings and reports. Casting directors and performers use it free.

We use AgencyClick. How do we switch?

Export your client list from AgencyClick as a CSV and import it under Roster → Import. You'll see a preview and duplicates are skipped. Then invite your performers to log in so they can add photos and update their own calendars.

How do I add my agents?

Ask them to create an account with their work email, then the owner adds that email under Settings → Team. Each performer can be assigned to an agent, and agents can filter the Roster to “My roster”.

Agencies

Why can't I book someone directly?

Only casting directors book. You submit people, casting picks who they want, and you confirm after checking with the performer. For casting directors who aren't on BGCAN yet, enter the request yourself and record their pick with “Casting picked them”.

What's the difference between unbooked, cancelled and rebooked?

Unbooked means the performer came off the job (you or casting pulled them). Cancelled means production cancelled the day, with or without a cancellation fee owed. Rebooked means the day moved to a new date; the old day stays on record with a link to the new one. Use Fix date to correct a date that was typed wrong.

How do availability checks work?

Tick people in Search, the Roster, a request's matches or a list, and press Message (or Ask if available on a request). Write the question and pick the dates. Performers answer Yes, No or Maybe by email link, in their login, or by text if texting is on. A Yes marks those days available in their calendar; a No marks them unavailable.

Can performers get text messages?

Yes, once whoever looks after the app connects a Twilio account (about a cent or two per text). Performers can text back YES, NO or MAYBE, and STOP to opt out. Performers can also turn texts off on their profile.

A performer forgot their password. What do I do?

Open their profile and press “Send password reset” under Performer login. They can also use “Forgot password” on the sign-in page themselves.

How are under-18s handled?

A parent or guardian's name and phone are required. Logins, messages and reminders go to the parent's email and phone when they're on file, and one parent login can hold several children. Every six months parents are reminded to update sizes and photos, stopping at 18.

Can casting directors see our whole roster?

Only if you turn it on under Settings → Casting directors. Otherwise they only see people you submit. Either way they never see contact details, private notes, allergies, phobias or access needs the performer hasn't shared.

What's in Reports?

Booked and worked days, no-shows, cancellations, your busiest months, who gets booked the most, which casting directors book you most, each agent's booked days and your top productions, for any date range. You can download the bookings as a spreadsheet.

Is it really free for casting directors?

Yes. Posting requests, reviewing submissions, browsing rosters, notes and reports are all free.

Which agencies get my request?

Choose “Every agency on BGCAN” (including agencies that join later) or pick specific agencies. Each agency only sees its own submissions, never another agency's.

Why can't I see performers' phone numbers?

Performers are represented by their agency, so you go through the agency: pick them, send a note, or use the agency's contact details on the profile.

The shoot date moved. How do I change it?

On your request board, press Change date beside a booked day. Rebook keeps the old day on record; Fix date corrects it in place. The agency is notified either way.

Performers

How do I get a login?

Your agency sends you an invite by email. If you have an update link from them, you can also press “Email me a login” at the bottom of that page.

I have two kids with the agency. Do I need two logins?

No. Your agency links both children to your email, and you switch between them in your login.

How many photos can I add?

Up to 10 photos of yourself (headshot, selfie, full body, tattoos and others) plus up to 10 photos of vehicles, pets and costumes, free.

Should I tell my agency about a disability, ADHD or autism?

Only if you want to. It helps your agency find work that suits you and set you up well on set, and some productions look specifically for performers with disabilities. Only your agency sees it, unless you tick “OK to show casting” for an item.

Where do I add B.E. On Set or Actsafe courses?

In your profile under “Training and safety courses”. Tick the course and add the date if you know it. Casting can see your training.

Do I have to pay?

No. Your profile, calendar, photos, messages and bookings are free, and Pro doesn't change who gets booked. Pro is an optional extra for your own stats, a year-end spreadsheet, phone calendar sync and no ads.

Privacy

Who can see my information?

Your agency sees your whole profile. Casting directors see photos, sizes, wardrobe, vehicles, training and restrictions. Contact details, date of birth, private notes, allergies, phobias and unshared access needs are never shown to casting. Other agencies can't see you at all.

How do I get my information deleted?

Ask your agency. They can remove you from the roster, and delete your profile, photos and booking history permanently.

Billing

What does it cost agencies?

Agencies are free during the launch period. After that, plans are priced by roster size, with 20% off when you pay for the year. Every plan includes unlimited requests, messages and reports, and up to 10 photos per performer. See Settings → Billing for current prices.

How do I change my card or cancel?

The agency owner goes to Settings → Billing → Manage billing to update the card, download invoices or cancel. Performers manage Pro from Go Pro → Manage or cancel.

Why is there a sponsor at the bottom of my page?

One small sponsor message from a local business (headshot photographers, classes, costume shops) helps keep BGCAN free for performers. There are no other ads, and Pro hides it.
